The Monday expense report

“I have a shoebox of receipts and an accountant who is tired of me.”

Owner-operatorsAny small team

How it works

  1. Snap or forward every receipt to one email address. That’s the only new habit.
  2. The agent pulls vendor, date, amount and category from each one.
  3. It matches receipts to bank transactions and lists anything missing a receipt.
  4. Every Monday: one page with spend by category, unmatched items, and anything unusual.

The guardrail

Your bookkeeper gets clean data. They still make the calls on taxes.

Tools that do this: An AI assistant that can read email and spreadsheets, or the receipt-capture feature in your accounting software.

Prompt to start with
Every Monday at [7am], build the weekly expense report for [Business Name].

1. Read every receipt sent to [receipts email] in the past 7 days. For each one, record vendor, date, amount, payment method, and a category from this list only: [your categories].
2. Match each receipt to a transaction in [bank export / accounting tool].
3. Write a one-page summary:
   - Total spend by category
   - Receipts with no matching transaction
   - Transactions over [$ amount] with no receipt
   - Anything unusual: duplicates, new vendors, amounts much higher than usual
4. Add every row to [spreadsheet], and email the summary to me and [bookkeeper].

Rules:
- If you're not sure of a category, mark it "Needs review". Don't guess.
- Don't make tax decisions or give tax advice.
