The lead chaser

“We send quotes, then forget to follow up. Can that run itself?”

ContractorsAny business that quotes

How it works

  1. The agent watches your inbox or CRM for anyone who asked for a quote and hasn’t heard back.
  2. No reply from your side in 24 hours? It drafts one short, personal follow-up.
  3. It offers two times to talk. They pick one, and it lands on your calendar.
  4. The moment the customer replies, it stops. A person takes over.

The guardrail

For the first few weeks it drafts and you approve. It never offers discounts or changes a price.

Tools that do this: The follow-up sequences built into most CRMs and field-service tools, or an AI assistant connected to your email and calendar.

Full sequence: The 48-Hour Follow-Up Sequence

Prompt to start with
You handle quote follow-up for [Business Name]. Every weekday at [8am], check [inbox / CRM] for people who asked for a quote or estimate.

For each lead where 24+ hours have passed with no reply from us, or no reply to a quote we sent:
1. Draft one short follow-up, under 60 words. Mention what they asked about. Offer two specific call times from [calendar].
2. Match the tone of these real messages we've sent: [paste 2 examples].
3. Don't send anything. Give me a list for approval: lead name, what they asked for, when they last heard from us, and the draft.
4. When a customer picks a time, put it on my calendar and send a confirmation.

Stop rules:
- If the customer replies, stop following up and flag the reply for me.
- No more than [2] follow-ups per lead, at least [3] days apart.
- Never discuss discounts, price changes or deadlines.
